  1. Clickthe Tools menu
  2. Click Accounts
  3. Select your email account listed at the button
  4. Click Edit or Double Click the account
  5. Type your email address in the account name field
  6. Type your Name in the Name field
  7. Type your Full Email Address in the Account ID field
  8. Type in the following for the POP server: mail.spro.net
  9. Type in the following for SMTP server: mail.spro.net

    NOTE: OPTIONAL If you have your own domain name and your email does not end with @spro.net, you can change the POP3 & SMTP server settings to: mail.yourdomain.com

  10. Click on the, Click here for advanced sending options button
  11. Uncheck SMTP Service Requires SSL
  12. Check Override default SMTP port
  13. Type 587 in the SMTP Port field
  14. Click the check box SMTP server requires authentication box
  15. Close the settings window
  16. Click Ok

How Do I Manage SPAM, Virus, & Quarantine Settings For My Email Accounts?

Description: This document provides instruction on how to manage the SPAM, Virus, & Quarantine settings of a POP email account.

IMPORTANT NOTE: All email accounts by default come with our integrated Spam filtering service. The personal Spam filter works to filter Spam messages regardless of whether you use Webmail or a client like Outlook Express. By default, the Spam filter quarantines Spam messages in a folder called "Spam". This folder is viewable in your webmail. We recommend that you routinely check this folder to ensure no legitimate email is getting caught. All quarantined mail is automatically deleted after 10 days without notification. The Spam caught in your quarantine does not count against your email account storage.

Logging In To Your Spam Quarantine Via Webmail

  1. Open your Web Browser
  2. Type in the URL: webmail.spro.net or mail.domainname.com
  3. Type in the Username (Full Email Address)
  4. Type in the Password 

    NOTE: Webmail Lite is the preferred view setting.
     
  5. Click Sign In
  6. Click the Spam folder in the left column under Trash.

NOTE: This folder can also be referred to you as your quarantine. The contents in this folder are considered Spam. If legitimate email is stuck here, is likely that the senders email provider has a mis-configured server, poor Spam reputation on the internet, the body of the email contains key words and or formatting that is suspicious, or the person is in your block list.

Unblocking Legitimate Email From Your Spam Quarantine Via Webmail

To allow/unblock a legitimate email make sure you have completed steps 1-6 above. Then follow the steps below to finish the process.

  1. Click on the legitimate email
  2. Click the Allow Sender button in the middle options section of the page

NOTE: After clicking the Allow Sender button all future email from that sender will automatically deliver to your inbox. The other existing messages will not be moved to your inbox automatically. You will have to repeat the process for the remaining messages. Lastly, If you use an email client such as Outlook the message will be delivered to your computer’s inbox the next time it does a send and receive.
 

Customizing & Configuring Spam, Virus, & Quarantine Settings Via Webmail  

The default settings should be enough to block incoming Spam, but still allow legitimate email to deliver to your inbox. These settings below are additional settings you can adjust for your email filtering service.

  1. Click AntiSpam Settings in the lower left column
  2. Click the Enable Or Disable Button on AntiSpam Settings if you want to Enable or Disable AntiSpam Feature.

    NOTE: Disabling the AntiSpam Feature is not recommended. A flood of unsolicited mail is subject to enter your mailbox even without any pre action on your behalf.
  3. Adjust the AntiSpam Settings based on your needs. Below are the different levels you can apply.

a)      Normal

b)      Normal, (w/Quarantine) (SolutionPro RECOMMENDED)

c)       Strict

d)      Very Strict (w/Quarantine)

e)      Customize Rules (NOT RECOMMENDED)

NOTE: For descriptions of what each level of filtering does click the question mark bubble while logged into your account. The Normal w/o Quarantine option will enable the blocking of more spam overall but has the risk of rejecting legitimate mail from mis-configured mail servers. This method is truly the best and most modern way to keep Spam under control and stop spammers from even trying to Spam you at all. SolutionPro recommends that NEW users start with Normal w/ Quarantine and then migrate to Normal w/o Quarantine to reduce overall spam after you have become more familiar with Spam settings.

Editing The Approved & Blocked Senders List Via Webmail

If you would like to manually add or remove a sender to your approved (white list) or blocked (black list). The steps below assume that you have already successfully logged into your webmail account.

  1. Click AntiSpam Settings in the lower left column
  2. Adjust the Spam List Settings based on your needs. Below are the different levels you can apply

a)      From: Blacklist

b)      From: Whitelist

c)       Subject Blacklist

NOTE: For descriptions of what each level of filtering does click the question mark bubble while logged into your account.

NOTE: SolutionPro is not responsible for any email that is filtered, blocked, or lost do to mis-configured AntiSpam settings.

NOTE: If you or a sender receives a bounce back message and you know that the sender or receiver is legitimate, it is suggested that you add that user or their domain name to the From: Whitelist. This is also known as the approved senders list. You can do this by following the steps below. The same steps apply for blocking a sender.

  2. Type the full email address or @domainname.com in the Enter New Value Field.
  3. Click Add

How Many Emails Can I Send And Receive?

Description: This document describes how Involta's POP City Email system blocks or “rate limits” the quantity of emails that can be sent or received to a user.

 NOTE: This policy is not defined by SolutionPro. CityEmail has made this their policy and our customers must obey by these rules. There will be no exceptions to their policy.

For any outbound emails, the rate limiter will count the number of emails that are received from each IP address in a 5 minute window. If that number is over 150, the IP address will be “rate limited”, which means that it can no longer connect to port 25 on the mail server & the IP address will be blocked.

In addition, the system will add an additional 15 to the overall number of emails sent if the sender sends to an email address that is nonexistent. Having a nonexistent recipient will cause the account to be suspended very quickly.  This is to ensure that brute force attacks and spam in general are stopped much faster.

For any inbound emails, the rate limiter will only allow 150 messages within a 5 minute window. If the recipient exceeds this amount the IP address will be 'rate limited', which means that it can no longer connect to port 110 on the mail server & the IP address will be blocked.

If one user from an organization exceeds the rate limited quantity and they share a public IP address, all users within that organization will be rate limited as well since the security policy is based by IP address.

Any rate limited IP address is removed automatically from the system at 12AM, 6AM, 12PM, & 6PM Pacific Standard Time. The account can only be unsuspended manually 3 times. After that CityEmail will no longer unlock the account and the 6 hour suspension duration must be waited out.

Typical signs that an account has been rate limited account include a username and password pop up box that will not go away on an email client. If you believe that your account may be rate limited please contact SolutionPro Support.

EXAMPLES:

You need JavaScript enabled to view it   tried sending, thus resulting in the blocking sender because the 150 rate limit has been reached.

The personal spam filter works to filter spam messages regardless of whether you use Webmail or a client like Outlook Express. How Do I Setup Android On Hosted Exchange?

Description: The steps below assume that you have a valid, active email account already setup with Involta. While you are using your Droid perform the following steps.


Prerequisites: Any active hosted exchange mail account with SolutionPro

NOTE: Options vary based on the Android OS Version.

  1. Tap the Settings button
  2. Tap Accounts & Sync
  3. Tap Add Account
  4. Tap Exchange, Corporate Mail, Or Active Sync
  5. Type your Full Email Address
  6. Type your Password
  7. Tap Manual Setup
  8. Type the full Email Address in the Username field

    NOTE: If you have a domain field, please leave it blank. If you have difficulties logging in, try typing a back slash in front of your username.

    EXAMPLE: Username: \myusername
     
  9. Type ix.spro.net in the Server field
  10. Tap Use SSL, Or Secure Connection
  11. Tap Next
  12. Modify the account sync options as you would prefer
  13. Tap Next
  14. Type in an Account Name
  15. Tap Done
  16. Wait approximately 3 minutes for the account to fully synchronize all mail, calendars & contacts.

How Do I Setup Entourage 2004 & 2008 On Hosted Exchange?

Description: Follow this document to setup a Mac on the Involta hosted exchange server (ix.spro.net) using Entourage 2004 or 2008.

NOTE:  Mac Mail does not support Microsoft Exchange, Entourage is the only known compatible exchange client for Mac OS’s.

  1. Open Entourage
  2. Click the Tools menu
  3. Select Accounts
  4. Click New from the new drop down menu
  5. Click Exchange
  6. Click on the Configure Account Manually button
  7. Enter the following information:
     
    • Account Name: Exchange
    • Name: Your Name
    • Email Address:   email@domain.comemail@domain.com This e-mail address is being protected from spambots. You need JavaScript enabled to view it  
    • Account ID:   email@domain.comemail@domain.com This e-mail address is being protected from spambots. You need JavaScript enabled to view it

    NOTE: Entourage will take a few minutes to synchronize your mail.

How Do I Setup iPhone, iPod, or iPad On Hosted Exchange?

Description: The steps below assume that you have a valid, active email account already setup with Involta. While you are using your iPhone, iPod, or iPad perform the following steps.

NOTE: Options vary based on the iOS Version.

NOTE: If this is the first email account you're setting up on your device, tap Mail. Otherwise, from the Home screen, tap Settings.

  1. Tap Mail, Contacts, Calendars
  2. Tap Add Account
  3. Tap Microsoft Exchange
  4. Type your Full Email Address
  5. Type your Full Email Address in the Username field
  6. Type your Password
  7. Type in a Description
  8. Tap Next
  9. Type ix.spro.net in the Server field
  10. Tap Next

    NOTE: The connection process will take one minute or more. If it fails please try again.
     
  11. Tap Yes if prompted with an SSL message
  12. Tap the Home Button
  13. Tap the Mail App on the Home Screen

Description: Follow this document to setup a client on hosted exchange (ix.spro.net) using Outlook 2003.

  1. Ensure Outlook is closed
  2. Click Start
  3. Click Run
  4. Type: outlook /profiles

  6. Click New
  7. Type an appropriate name in the Profile Name field
  8. Click OK
  9. Select Add A New E-mail Account radio button
  10. Click Next
  11. Type hosting01.hosting.farm the in the Microsoft Exchange Server field
  12. Select Use Cached Exchange Mode
  13. Type the first name of the user in the User Name field
  14. Click More Settings
  15. Click Cancel if you are prompted with an error message stating that the exchange server cannot connect

    NOTE: Do not press next; this will result in a long timeout and will push you back a step.
     
  16. Click the Security tab
  17. Select Encrypt data between exchange server checkbox
  18. Select Kerberos/NTLM Password Authentication from the Logon network security drop down
  19. Click the Connection tab
  20. Click the Connect to my Exchange mailbox using HTTP checkbox
  21. Click the Exchange Proxy Settings button
  22. Type ix.spro.net in the top https:// text box
  23. Check the Mutually Authenticate The Session With SSL Checkbox
  24. Type msstd:ix.spro.net in the Principal Name For The Proxy Server text box

  3. Type in the username

    NOTE: The username is the customers 10 digit telephone phone number

Maintenance and Emergency Notifications

How Does The Maintenance And Emergency Notification System Work?

When you sign up to receive notifications, we pair your company name and other contact information with the specific products and services you use with Involta. This eliminates nuisance notifications and will ensure that every notification you receive from us is relevant and timely.

Here's how you can sign up:

Fill out our notification form by clicking here or visiting the support page on our website and scrolling toward the bottom option where it says "notifications". There are two levels of notifications- Maintenance or Emergency notification. You can sign up for one or both of them.

There are two ways to be notified- Email or SMS (text message to your phone). If you choose SMS you will receive both email AND sms messages.

What types of notifications will I receive?

The information you provide via the form will be used to pair your set of Involta products/services with your notifications.

You will only receive a notification if the products and services you have are affected by the event.

Is it possible that I could sustain an outage and NOT receive a notification?

Yes. This is because this notification system only notifies you of a company-wide service affecting event which impacts a group of customers. If your individual service is down and you did not receive a notification, the origin of the outage was probably not at Involta or could be isolated to only your hardware or software. Do contact us for help and we'll be happy to troubleshoot the issue. If you have services that you would like monitored on an individual basis- please contact our sales department for further information.

How will I be notified?

This depends on what notifications you have elected to receive:

Maintenance Notifications- These notifications are scheduled maintenance events that may or may not be service affecting. You will receive a sms and/or email message a week prior to and a reminder two days prior to the event. You will also receive a post-event notification.

Emergency Notifications- These notifications are for unplanned service-impacting events. You will receive a brief sms and/or email message when an event has been identified as well as an update every hour during the event. Upon resolution, you will receive an "all clear" message stating that services have been restored.

Why Must I provide my Cell Phone Carrier to you?

Our SMS outgoing messaging system sends to many different cell service providers. The carrier name is required as part of the authentication process. Its there to ensure that we are authorized to send out bulk sms messages to our customers.

I'm using a third-party Cell phone service and don't know my Carrier, why can't you send sms messages to me?

Under certain circumstances, we are unable to determine the actual carrier of your cellular phone service. One example is Google Voice. Google Voice uses several different large carriers but they don't reveal who those carriers are- because of this, its not yet possible for us to send bulk sms messages. If Google and other third-party Cellular service resellers decide to release this information, it might make it possible for us to send messages to you.
